Senior Event Manager

The Event Studio is an independently owned strategic full service event production company. The Event Studio is seeking an event manager to support event execution & strategy for several simultaneous clients. This role is full time and will be primarily a work from home position with frequent travel required.

The senior event manager is responsible for working with TES event teams to successfully execute simultaneous client events with some project leadership opportunities. Key to the position is a proactive and solutions oriented style, excellent communication and computer skills with a rigorous attention to detail.

Candidates must have ability to manage multiple demands under pressure, interact with senior management, and handle confidential information.

Responsibilities Will Include:

Client Management

Regularly interact with clients during the planning process and onsite including acting as client POC for selected projects. Prepare and give regular client updates.

Research and RFP

As needed research and initiate the Request For Proposal process with event vendors including venue, caterers, florists, photographers, giveaways, gifts and so on as needed.

Vendor Management

Serve as primary contact for vendors including hotels, venues, production companies, freelance staff, photographers, caterers, designers, printers, etc. Ensure that they deliver services on brand and on budget.

Speaker Management Support

Assist speaker communications; send speaker packets, collect photos & bios, book speaker travel and managing on-site arrivals and other speaker needs, research speaker contact information and make preliminary calls to PR and internal support teams.  

Event Support

Support the purchasing and creation of basic event materials. To include researching ideas for event products/gifts, obtaining quotes, managing shipping and billing. Printing basic event materials including name badges, table tents, handouts, and simple inserts.

Onsite

Provide onsite event management to include client management, food & beverage management, meeting room set-up, and outside vendor management.

Post Event

Reconcile billing and expenses for client and The Event Studio budgets. Manage all post-event follow up to include tipping, thank you notes, and budget reconciliation.

Administrative Support

Working within The Event Studio standard operating procedures you will be responsible for overseeing budget management for specific events, scheduling and taking notes for conference calls with clients, managing timelines for each event. You will also be responsible for managing event-­related travel expense reports according to company policy & timelines.

POSITION QUALIFICATIONS:

This position is full-­time and will work from a home office. Ideal locations are New York/New Jersey, San Francisco, Southern CA or Denver, CO. Salary range for this position is $55,000-­$65,000.

Please note, The Event Studio operates out of virtual offices with staffers spread across the country. Working from home and with a virtual team is a must.

Event Coordinator

The Event Studio is seeking an event coordinator to support event execution for several simultaneous clients. This role is full time and will be primarily a work from home position with some travel required.

Responsibilities Will Include:

Administrative Support

Working within The Event Studio standard operating procedures you will be responsible for various support roles across specific events including database management, meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics), taking meeting notes, create and modify documents using Microsoft Office and Excel, research.

Content Research

Research speakers, content ideas and the best way to contact prospective speakers. Compile background information on confirmed speakers and support the programming team with backup information.

Speaker Communication & Support

Assist speaker communications; prepare and send speaker packets, collect photos & bios, book speaker travel and manage onsite arrivals and other speaker needs. Research speaker contact information and make preliminary calls to PR and internal support teams.

Vendor Research and RFPs

Research and conduct outreach to vendors. As needed, initiate the Request For Proposal process with event vendors including venues, caterers, florists, photographers, transfer companies, giveaways, gifts, etc. as needed. This will include presenting the information in a standard TES template.

Client Support

Participate in regular calls with the client where you will prepare notes and give updates to the TES team.

Onsite Support

Provide onsite event support to include food & beverage management support, meeting room set-­up, and outside vendor management support. Serve as a Production Assistant/Runner onsite at events – helping in every area of execution to solve problems and ensure a smooth running event.

Post-­Event Support
