About the role
The Event Studio is seeking an Event Coordinator to join our talented project team in delivering flawless event execution for our industry-leading corporate clients.
At TES, our work is dynamic, creative, precise, and highly collaborative. As a vital part of our event project teams, you will work on several projects simultaneously and need to balance internal, and operational execution with responsive and excellent client service. You will have the opportunity to learn, grow, and work on corporate events designed and delivered with world-class standards.
Role requirements
This role is the entry point for event work at TES, yet is far more than an entry-level role. Candidates will build essential skills to advance professionally as well as personally. Our ideal candidate should have a passion and interest in building a career in the corporate event industry. We are looking for someone with a unique ability to stay calm and organized under pressure – perhaps even get better when things get busy. You should have the kind of attention to detail that some might find unusual combined with an ability to keep the bigger picture in mind. You will understand that collaboration is crucial to success and have a drive to provide exceptional customer service.
Candidates must have strong computer skills, an innate talent for organization, and be able to handle confidential information with discretion and sensitivity. Qualifications
Minimum 1-2 years of relevant event industry experience
Strong computer skills; ability to learn and master various programs and file types (i.e. the Google Suite, Microsoft, Zoom, event software and systems, and virtual platforms)
Exceptional attention to detail

Ability to multitask in a fast-paced environment

Detailed role description: Event Coordinator
This job is a vital part of our work at The Event Studio and has exposure to all parts of the event industry. It is fast-paced and ever-changing, no two days are the same - if that sounds appealing and not appalling, we would love to hear from you!

Event execution support
Project and team support
Working as part of project teams, you will be responsible for various support roles across specific events including database management, meeting support as needed (coordinating food, logistics, rentals, etc.), data entry & tracking, taking meeting notes, creating and modifying documents using Google Suite. As an essential team contributor, you will learn and support all standard operating procedures and project workflows. You must proactively manage your time and anticipate team and project needs, and support senior TES team members as needed. You will participate in regular internal TES and client calls where you will prepare notes and give updates.
Research
An important part of this role is researching a variety of event-related needs that are on-brand and on-budget. From finding unexpected solutions to unusual requests to tracking down top vendors around the world to researching speakers, content ideas, or the best way to contact prospective speakers, you will have to be proactive and creative with a talent for tracking down results. As needed, you will initiate the Request For Proposal (RFP) process with event vendors including venues, caterers, registration systems, florists, photographers, transportation companies, giveaways, gifts, etc.
Event Support
This role is an incredible opportunity for event professionals to grow and learn while working on the highest level of strategic corporate events. The majority of your role will be to track, coordinate, and execute complex workflows working alongside and supporting the event project team. You will support key areas of event planning and execution, from kick-off to completion, including vendor research and support for the RFP process, attendee giveaways, shipping management, vendor management, and execution support including participating in our onsite event teams. You will serve as a Production Assistant/Runner onsite at events – helping in every area of execution to solve problems and ensure a smooth-running event. As part of the post-event process, you will track and collect billing and expenses for the client and The Event Studio, as well as coordinate the project wrap-up organization budgets and with all post-event follow up to include tipping, thank you notes, and budget reconciliation.
Employment Details
This position is full-time and will work from a home office. Working from home with a virtual team is a must. Salary is commensurate with experience.
