Event Manager

The Event Studio is seeking an Event Manager to join our talented project teams in delivering flawless event execution for our industry-leading corporate clients.

At TES, our work is dynamic, creative, precise, and highly collaborative. As a crucial part of our event project teams, you will work on several projects simultaneously and need to balance internal, and operational execution with responsive and excellent client service. You will serve as a critical link between our internal workflows and the larger project goals.

Qualifications

  • Minimum 3-5 years of relevant event industry experience.

  • Strong interpersonal and communication skills, written and verbal.

  • Expert research skills that demonstrate a creative and solution-focused approach.

  • Technical proficiency with project management software (such as GSuite, MS Office)

    as well as experience with common event registration and virtual event platforms.

  • Ability to multitask in a fast-paced environment.

Project and Team Support

Serve as an essential team contributor and support for all standard operating procedures and project workflows. Be a proactive force in understanding project needs and delivering efficient and effective results that achieve both project needs and internal TES goals. Oversee budget tracking for specific events, including managing event-related travel expense reports according to company policy & timelines. Manage project and team scheduling and track communications with clients. Proactively manage timelines for each event, being able to anticipate needs and plan accordingly. Support senior TES team members as needed.

Client Management

We work with industry-leading corporate clients. You will have the opportunity to build strong relationships and regularly interact with clients during the planning process and onsite during event execution. You will regularly prepare and provide updates to clients and track relevant project milestones and details to support TES leadership and provide professional client service.

Event Execution

This role is an incredible opportunity for committed event professionals to grow and learn while working on the highest level of strategic corporate events. The majority of your role will be to track, coordinate and execute complex events working alongside our senior event team. You will support key areas of event planning and execution, from kick-off to completion, including vendor research and support for the RFP process, vendor management, speaker management and support, and execution support including participating in our onsite event teams.

This position is full-time and will work from a home office. Working from home and with a virtual team is a must. Salary is commensurate with experience.

Detailed role description

Project and team support 

Working as part of project teams, you will be responsible for various support roles across specific events including database management, meeting support as needed (coordinating food, logistics), data entry & tracking, taking meeting notes, creating and modifying documents using Google Docs. As an essential team contributor, you will learn and support all standard operating procedures and project workflows. You must proactively manage your time and anticipate team and project needs. Support senior TES team members as needed. You will participate in regular calls with the client where you will prepare notes and give updates to the TES team.

Research 

An important part of this role is researching a variety of event-related needs that are on brand and on budget. From finding unexpected solutions to unusual requests, to tracking down top vendors around the world to researching speakers, content ideas or the best way to contact prospective speakers, you will have to be proactive and creative with a talent for tracking down results. As needed, you will initiate the Request For Proposal process with event vendors including venues, caterers, registration systems, florists, photographers, transfer companies, giveaways, gifts, etc.

Event Support  

This role is an incredible opportunity for interested event professionals to grow and learn while working on the highest level of strategic corporate events. The majority of your role will be to track, coordinate and execute complex workflows working alongside and supporting our senior event team. You will support key areas of event planning and execution, from kick-off to completion, including vendor research and support for the RFP process, vendor management, speaker management and support, and execution support including participating in our onsite event teams. You will serve as a Production Assistant/Runner onsite at events – helping in every area of execution to solve problems and ensure a smooth-running event. As part of the post-event process, you will collect billing and expenses for the client and The Event Studio budgets and with all post-event follow up to include tipping, thank you notes, and budget reconciliation.

Site Selection Intern

The Event Studio is seeking a Site Selection Intern to support our Site Selection Team. The Site Selection Team is responsible for sourcing hotels, restaurants, conference centers, and other venues for multiple clients across The Event Studio portfolio.  

At TES, our work is dynamic, creative, precise, and highly collaborative. This role supports the Site Selection team, working on several tasks simultaneously while balancing internal, and operational execution with creativity, proactive problem-solving, and clear communication.  The role includes general administrative duties, venue research, data management, completing ad hoc projects as assigned, streamlining communications within the team, and identifying and executing innovative solutions, systems, and processes that help the site selection team 

Role requirements

Candidates must have excellent computer skills, the ability to successfully interact with senior management and key vendors, and handle confidential information with discretion and sensitivity.  You should be resourceful, hard-working, and excited to join a creative and collaborative team that operates at the highest level of execution.  This is a great opportunity to be the glue that holds our site selection process together, which is perfect for the person who is looking to break into the events industry.

Detailed role description

Administrative Support

Working directly with the Site Selection team, you will help keep the department work and projects moving forward in an organized manner.  You will manage tracking documents, cross-checking of information, calendar management, contact and CRM management, meeting scheduling, and support. You will support the creation and modification of documents as needed, and you should have a good understanding of business-related software including Google Suite, Microsoft Office, Airtable, Docusign, etc; TES works with a large number of vendors and you will assist with contract, billing and commissions reporting and tracking.

RFP & Vendor Support

As an essential member of the Site Selection team,  you will learn and support all TES standard operating procedures and work with team members to develop compelling proposals and manage the RFP process for vendors and clients. You will assist with the Site Selection RFP process, and managing basic requests in CVENT, including reporting. You will create and track leads, manage client folders, track contracts, and pick-up reports.

Client Presentation Support

In this multidimensional role, you will provide concierge-level support, interfacing with clients and vendors as needed and directed.  You will help to develop custom presentation materials for prospective and current TES clients, working within our templates and from prior work examples to showcase the best venue options for events across the globe. 

Travel Support

You will provide critical support in helping to organize details for site visits, including making and managing travel arrangements for the Site Selection team, working with venues on hotel rooms, transfers, meal preferences, and reservations, tracking team and client schedules, and preparing all required documents to ensure a successful trip.
