Senior Event Manager

The Event Studio is seeking a Senior Event Manager for project leadership on event execution for several simultaneous clients. This role is full time and will be primarily a work from home position with frequent travel required. Key to the position is a proactive and solutions oriented style, excellent communication and computer skills with a rigorous attention to detail. Candidates must have the ability to manage multiple demands under pressure, interact with senior management, and handle confidential information.

RESPONSIBILITIES WILL INCLUDE:

Project Management
Lead, plan and execute complex events meeting Client’s goals. Ideate creative ideas and event concepts that are fresh, unique and relevant. Manage event lifecycle including logistics, planning, budgeting, timelines, and team assignments for multiple simultaneous projects from kickoff to completion. Work closely with Client Lead to keep all internal and external documents updated.

Client Management
Prepare and give regular client updates. Regularly interact with clients during the planning process and onsite including acting as client point of contact for selected projects.

Research and RFP
As needed research and initiate the Request For Proposal process with event vendors including venues, virtual platforms, registration systems, caterers, florists, photographers, giveaways, gifts, etc. Make recommendations that best fit event goals and budgets.

Vendor Management
With team members, serve as primary contact for vendors including hotels, venues, production companies, freelance staff, photographers, caterers, designers, printers, etc. Ensure that they deliver services on brand and on budget.

Event Support
Support the purchasing and creation of basic event materials. To include researching ideas for event products/gifts, obtaining quotes, managing shipping and billing and researching specific health & safety protocols. Printing basic event materials including name badges, table tents, handouts, and simple inserts. Virtual event research, management and execution, including virtual platform familiarity and support.

Onsite
Provide onsite-day-of event management (both live and virtual) to include client management, food & beverage management, meeting room set-up, and outside vendor management.

Post Event
Reconcile billing and expenses for client and The Event Studio budgets. Manage all post-event follow up to include tipping, thank you notes, and budget reconciliation.

Event Coordinator

The Event Studio is seeking an event coordinator to support event execution for several simultaneous clients. This role is full time and will be primarily a work from home position.

RESPONSIBILITIES WILL INCLUDE:

Administrative Support
Working within The Event Studio standard operating procedures you will be responsible for various support roles across specific events including database management, meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics), data entry & tracking taking meeting notes, creating and modifying documents using Google Docs, research.

Vendor Research and RFPs
Research and conduct outreach to vendors. As needed, initiate the Request For Proposal process with event vendors including venues, caterers, registration systems, florists, photographers, transfer companies, giveaways, gifts, etc. as needed. This will include presenting the information in a standard TES template.

Speaker Logistics Support
Assist speaker communications; prepare and send speaker packets, collect photos & bios, book speaker travel and manage onsite arrivals and other speaker needs. Research speaker contact information and make preliminary calls to PR and internal support teams.

Content Research
Research speakers, content ideas and the best way to contact prospective speakers. Compile background information on confirmed speakers and support the programming team with backup information.

Client Support
Participate in regular calls with the client where you will prepare notes and give updates to the TES team.

Onsite Support
Provide onsite event support to include food & beverage management support, meeting room set-up, and outside vendor management support. Serve as a Production Assistant/Runner onsite at events – helping in every area of execution to solve problems and ensure a smooth-running event.

Post-Event Support
Collect billing and expenses for the client and The Event Studio budgets. Assist with all post-event follow up to include tipping, thank you notes, and budget reconciliation.

POSITION QUALIFICATIONS:

Sales Assistant

The Event Studio is seeking a Sales Assistant to provide support to the Chief Revenue Officer and the Site Selection team.  We are looking for a positive, talented, and goal-oriented Sales Assistant to join a thriving and growing events team. This is a great opportunity to be the glue that holds together our sales process, perfect for the person who is looking to break into the events industry. 

Your role is multi-dimensional; you will support the Chief Revenue Officer, provide concierge-level service and marketing materials to clients, and provide coordination throughout the sales process.

RESPONSIBILITIES WILL INCLUDE:

Administrative Support
General research, data entry, cross checking, meeting scheduling and support as needed; assist with creating proposals; adding signatures to contracts, create and modify documents using Google docs, Docusign, etc., track sales leads and status of client interactions; assist with lead follow-up by scheduling meetings with the Chief Revenue Officer; assist with compiling reports for the CRO and Leadership team.

Proposal Writing
Support our sales process by creating custom proposals for prospective clients for The Event Studio working with our templates and prior work examples. Manage creation and upkeep of sales materials.

Sales Support & Tracking 
Create and oversee a system to track and manage sales leads and proposals working closely with the CRO on sales response and outreach. 

Contact Database
Database/list management for all sales leads and past clients. Assist with lead follow-up by scheduling meetings with clients and the CRO. Join meetings to take notes and create action items and follow up with meetings from prospective clients. Help identity and manage leads and clients.

Administrative Support
Working within The Event Studio standard operating procedures you will be responsible for overseeing budget management for specific events, scheduling and taking notes for conference calls with clients, managing timelines for each event. You will also be responsible for managing event-related travel expense reports according to company policy & timelines.

POSITION QUALIFICATIONS:

Administrative Assistant

The Event Studio is seeking an administrative assistant to provide support to the Leadership and Operations teams. Duties include general administrative support, research and data management. 

RESPONSIBILITIES WILL INCLUDE:

Administrative Support
General research, data entry, cross checking, meeting scheduling and support as needed. Create and modify documents using Google docs, Docusign, etc; shipping support (creating shipping labels, schedule pick up); invoice and contract tracking for vendors.

Travel & Reimbursement
Manage monthly expense reporting for Managing Director & Executive Director including receipt management and processing in company expense software on a bimonthly basis. Research, book and manage travel as necessary to include flights, hotel, car service, etc.

Gifting
Assist with researching and ordering gifts as needed and requested for various events (clients, team members, etc)

HR Support  
Support HR for our Executive Director with our growing team including employee support processes, employee health and welfare plans, assist with new employee hiring processes including the recruitment, interviewing and onboarding processes.
