Event Manager

The Event Studio is seeking an event manager to support event execution & strategy for several simultaneous clients. This role is full time and will be primarily a work from home position with frequent travel required.

The event manager is responsible for working with TES event teams to successfully execute simultaneous client events with some project leadership opportunities. Key to the position is a proactive and solutions oriented style, excellent communication and computer skills with a rigorous attention to detail. 

Candidates must have ability to manage multiple demands under pressure, interact with senior management, and handle confidential information. 

Responsibilities Will Include:

Client Management
Regularly interact with clients during the planning process and onsite including acting as client POC for selected projects. Prepare and give regular client updates.

Research and RFP
As needed research and initiate the Request For Proposal process with event vendors including venue, caterers, florists, photographers, giveaways, gifts and so on as needed.

Vendor Management
Serve as primary contact for vendors including hotels, venues, production companies, freelance staff, photographers, caterers, designers, printers, etc. Ensure that they deliver services on brand and on budget.

Logistics
Work with venues to plan and secure all relevant logistics including space planning, room sets, security/permitting, shipping & delivery, room blocks, etc.  Ability to successfully plan and track Food & Beverage plan to client’s specifications and budget.  

Speaker Management Support
Assist speaker communications; send speaker packets, collect photos & bios, book speaker travel and managing on-site arrivals and other speaker needs, research speaker contact information and make preliminary calls to PR and internal support teams.  

Event Support
Support the purchasing and creation of basic event materials. To include researching ideas for event products/gifts, obtaining quotes, managing shipping and billing. Printing basic event materials including name badges, table tents, handouts, and simple inserts.

Onsite
Provide onsite event management to include client management, food & beverage management, meeting room set-up, and outside vendor management.

Post Event
Reconcile billing and expenses for client and The Event Studio budgets. Manage all post-event follow up to include tipping, thank you notes, and budget reconciliation.

Administrative Support
Working within The Event Studio standard operating procedures you will be responsible for overseeing budget management for specific events, scheduling and taking notes for conference calls with clients, managing timelines for each event. You will also be responsible for managing event-related travel expense reports according to company policy & timelines.

Position Qualifications:

  • 4-5 years event experience 
  • Proficiency in Google Docs, Google Mail platform, MS Office Suite
  • Familiarity with common event registration platforms

This position is full-time and will work from a home office. Ideal locations are New York/New Jersey, San Francisco, Southern CA or Denver, CO. Salary range for this position is $45,000-$50,000.

Event Coordinator

The Event Studio is seeking an event coordinator to support event execution for several simultaneous clients. This role is full time and will be primarily a work from home position with some travel required.

RESPONSIBILITIES WILL INCLUDE:

Administrative Support
Working within The Event Studio standard operating procedures you will be responsible for various support roles across specific events including database management, meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics), taking meeting notes, create and modify documents using Google Docs, research.

Vendor Research and RFP
Research and conduct outreach to vendors. As needed, initiate the Request For Proposal process with event vendors including venues, caterers, registration systems, florists, photographers, transfer companies, giveaways, gifts, etc. as needed. This will include presenting the information in a standard TES template.

Speaker Logistics Support
Assist speaker communications; prepare and send speaker packets, collect photos & bios, book speaker travel and manage onsite arrivals and other speaker needs. Research speaker contact information and make preliminary calls to PR and internal support teams.

Content Research
Research speakers, content ideas and the best way to contact prospective speakers. Compile background information on confirmed speakers and support the programming team with backup information.

Client Support
Participate in regular calls with the client where you will prepare notes and give updates to the TES team.

Onsite Support
Provide onsite event support to include food & beverage management support, meeting room set-up, and outside vendor management support. Serve as a Production Assistant/Runner onsite at events – helping in every area of execution to solve problems and ensure a smooth-running event.

Post-Event Support
Collect billing and expenses for the client and The Event Studio budgets. Assist with all post-event follow up to include tipping, thank you notes, and budget reconciliation.

POSITION QUALIFICATIONS:

Office Manager

The Event Studio is a virtual team seeking a tech-savvy Office Manager to support our Operations Department in running the company efficiently. This role is full time and will be a work from home position responsible for supporting our fully virtual team. 

The Office Manager is the go-to person for the day to day office operations and will play a crucial role in helping the company run smoothly while helping to shape our culture.  You’ll work closely with the other members of the team who are based virtually around the country. This position will suit someone who thrives on responsibility and coordination for a broad range of operational and administrative projects. You must be able to manage multiple priorities, work with many stakeholders, and thrive in a fast-paced environment. The ideal candidate for this position is an excellent communicator, a technophile, a problem solver, flexible, super-organized and enthusiastic about joining a growing company. 

Specific Responsibilities Will Include:

Office Management
Serve as the main point of contact for office operations for the entire TES team, including setup and maintenance of all necessary systems for daily operations such as office supplies, tech support, logistics, etc.  

Virtual Team Technology Setup and Systems
Oversee/manage software and system providers to support the company’s technology needs, with a keen understanding of what it takes to help a virtual team work efficiently. Anticipate potential risks and demands, work with team to identify solutions, and resolve technology issues in a timely manner as they arise. Experience with Apple and Google for Business products is a plus. 

Event and Office Supplies Management and Support
Support event planning team by coordinating supplies needed for each event. Maintain storage facility and manage supply inventory.

Client Gifting
Work closely with the Operations Team to manage client gifting programs. Track budgets and history, manage physical mailings and email outreach to our database of past, current and prospective clients. 

Administrative Support
Maintain calendars, track vacation time, archive completed projects, catalog photos, and provide general support to the team when necessary.  

Expense Management
Facilitate the team expense reporting process including maintaining expense reporting software, reconciling expenses, and creating monthly reports for both internal use and client facing invoices.

POSITION QUALIFICATIONS:

  • 2-4 years of experience in office and operations management 
  • Strong computer skills – be a bit of a “geek” with the ability to learn and master various programs (i.e. Microsoft Office, Google docs, Google Drive, expense reporting systems)
  • Ability to troubleshoot and creatively problem solve technology issues 
  • Experience working with IT solutions providers preferred
  • Comfortable with cloud-based systems
  • Exceptional attention to detail 
  • Strong interpersonal and communication skills 
  • Willing and eager to attack tasks at every level
  • Self-driven and able to work from a home office, some virtual working experience
  • Understanding of the event industry is a bonus, though not required
