Event Manager

The Event Studio is seeking an Event Manager to join our talented project teams in delivering flawless event execution for our industry-leading corporate clients. 

At TES, our work is dynamic, creative, precise and highly collaborative. As a crucial part of our event project teams, you will work on several projects simultaneously and need to balance internal, operational execution with responsive and excellent client service. You will serve as a critical link between our internal workflows and the larger project goals. 

Role requirements

Our ideal candidate has a unique ability to stay calm and organized under pressure—perhaps even get better when things get busy. You should have the kind of attention to detail that some might find unusual combined with an ability to keep the bigger picture in mind. You will understand collaboration is crucial to success and have a drive for providing exceptional customer service. 

Candidates must have the proven ability to manage multiple demands under pressure, exceptional ability to track information and use a variety of event-specific and project management technologies and systems easily, interact with both vendors and high-level corporate clients professionally, and handle confidential information with discretion and sensitivity.  We’re looking for someone proactive, resourceful, hard-working and excited to join a creative and collaborative team that operates at the highest level of execution.

Qualifications

  • Minimum 3-5 years relevant event industry experience.

  • Expertise in building and managing Registration or Content management & support preferred.

  • Strong interpersonal and communication skills, written and verbal.

  • Expert research skills that demonstrate a creative and solution-focused approach. 

  • Technical proficiency with project management software (such as GSuite, MS Office Suite, Slack, etc.)as well as experience with common event registration and virtual event platforms. 

  • Ability to multitask in a fast-paced environment.

  • Exceptional attention to detail—beyond what others might consider normal. 

  • Resourceful, creative and curious with strong analytical skills.

  • Proactive & flexible with an ability to problem-solve and model grace under pressure.

Project and team support 

Serve as an essential team contributor and support for all standard operating procedures and project workflows. Be a proactive force in understanding project needs and delivering efficient and effective results that achieve both project needs and internal TES goals. Oversee  budget tracking for specific events, including managing event-related travel expense reports according to company policy & timelines. Manage project and team scheduling and track communications with clients. Proactively manage timelines for each event, being able to anticipate needs and plan accordingly. Support senior TES team members as needed. 

Client Management

We work with industry-leading corporate clients. You will have the opportunity to build strong relationships and regularly interact with clients during the planning process and onsite during event execution. You will regularly prepare and provide updates to clients and track relevant project milestones and details to support TES leadership and provide professional client service.

Event Execution  

This role is an incredible opportunity for committed event professionals to grow and learn while working on the highest level of strategic corporate events. The majority of your role will be to track, coordinate and execute complex events working alongside our senior event team. You will support key areas of event planning and execution, from kick-off to completion, including vendor research and support for the RFP process, vendor management, speaker management and support, and execution support including participating in our onsite event teams.

Event Coordinator

The Event Studio is seeking an Event Coordinator to join our talented project teams in delivering flawless event execution for our industry-leading corporate clients. 

At TES, our work is dynamic, creative, precise and highly collaborative. As a vital part of our event project teams, you will work on several projects simultaneously and need to balance internal, operational execution with responsive and excellent client service. You will have the opportunity to learn, grow and work on corporate events designed and delivered with world-class standards. 

Role requirements

This is an entry-level position that will build essential skills to advance professionally as well as personally. Our ideal candidate should have a passion and interest for building a career in the corporate event industry. We are looking for someone with a unique ability to stay calm and organized under pressure – perhaps even get better when things get busy. Detailed role description

Project and team support 

Working as part of project teams, you will be responsible for various support roles across specific events including database management, meeting support as needed (coordinating food, logistics), data entry & tracking, taking meeting notes, creating and modifying documents using Google Docs. As an essential team contributor, you will learn and support all standard operating procedures and project workflows.  You must proactively manage your time and anticipate team and project needs.  Support senior TES team members as needed. You will participate in regular calls with the client where you will prepare notes and give updates to the TES team.

Research 

An important part of this role is researching a variety of event-related needs that are on brand and on budget. From finding unexpected solutions to unusual requests, to tracking down top vendors around the world to researching speakers, content ideas or the best way to contact prospective speakers, you will have to be proactive and creative with a talent for tracking down results.  As needed, you will initiate the Request For Proposal process with event vendors including venues, caterers, registration systems, florists, photographers, transfer companies, giveaways, gifts, etc. 

Event Support  

This role is an incredible opportunity for interested event professionals to grow and learn while working on the highest level of strategic corporate events.  The majority of your role will be to track, coordinate and execute complex workflows working alongside and supporting our senior event team.  You will support key areas of event planning and execution, from kick-off to completion, including vendor research and support for the RFP process, vendor management, speaker management and support, and execution support including participating in our onsite event teams. You will serve as a Production Assistant/Runner onsite at events – helping in every area of execution to solve problems and ensure a smooth-running event. As part of the post-event process, you will collect billing and expenses for the client and The Event Studio budgets and with all post-event follow up to include tipping, thank you notes, and budget reconciliation.

The Event Studio is seeking a Freelance Event Manager to join our talented project teams in delivering flawless event execution for our industry-leading corporate clients. This role is freelance with the opportunity to become full time and is a fully remote position with frequent travel required.

Project and Team Support

Working within The Event Studio standard operating procedures you will be responsible for overseeing budget management for specific events, scheduling and taking notes for conference calls with clients, managing timelines for each event. You will also be responsible for managing event-related travel expense reports according to company policy & timelines.

Client Management

Regularly interact with clients during the planning process and during the live event. Prepare and give regular client updates.

Event Support

You will serve as a key member of our event project teams on all stages of event design and planning, execution and onsite management and post-event follow-up and reconciliation.

  • Research: Conduct vendor and project-related research and support the Request For Proposal process with event vendors including venues, virtual platforms, registration systems, caterers, florists, photographers, giveaways, gifts, etc. as needed including obtaining quotes, managing shipping and billing and researching specific health & safety protocols. Seek creative solutions and proactive problem-solving to event and project needs.

  • Vendor management: Serve as primary contact for vendors including hotels, venues, production companies, photographers, caterers, designers, printers, etc. Ensure that they deliver services on brand and on budget. Manage these various relationships end-to-end.

  • Speaker Management: Support Assist speaker communications; create & send speaker packets, collect photos & bios, book speaker travel and other speaker needs, research speaker contact information and make preliminary calls to PR and internal support teams. 

  • Onsite Execution: Provide onsite-day-of event management (both live and virtual) to include client management, food & beverage management, meeting room set-up, and outside vendor management. Oversee printing and delivery of basic event materials including name badges, table tents, handouts, and simple inserts.

  • Post Event Reconcile billing and expenses for client and The Event Studio budgets. Manage all post-event follow up to include tipping, thank you notes, and budget reconciliation.
